INBOUND EMAIL

You will need to know whether your Service Provider uses POP or SMTP for e mail, call and ask, while on the line, get the name of your e mail server, and any login info.

System Profile

Check either receive with POP or SMTP.

For POP server, you will need to include the server name:

mail.moran.com (note, yours will be different, but should be in the same format).

Account:

This is the e mail account name.

Check remember password between sessions only if your mail servers requires a password to log on.


Checking for mail


Receive e mail with POP:

Uncheck Automatically check for e mail, it will slow your online message retrieval somewhat.

Leave messages on server, uncheck.
NOTE: This can be useful if you want to keep e mail on another machine, if you check e mail from the office and want to have a copy at home also you can use this feature.

Most Service providers have specific guidelines on how much and how long they will store e mail, check in advance if you are concerned with these areas.

Uncheck Skip messages longer than.

NOTE: This is very useful if you get unwanted files via e mail that are large, you will see the header fields when Agent retrieves your e mail, and if you simply do not want the file, send an e mail to your sys admin. and ask them to purge your e mail box of those files.  Handy feature.

When new mail arrives

I choose display a message so I know when I have e mail.

Play sound:
You can have Agent play a sound each time you have e mail, this can be fun if you are like me and have way cool sound files to play.  I like Beavis and Butthead saying "You have mail, you must be an ass".

Filing

This dialog box contains settings Agent uses when receiving email.  Use this tab to define the folders in which Agent will automatically file new email messages.

Filters

This is a list of rules you define that controls where Agent files new mail.  When a new message is received, Agent checks all the filters in this list, starting at the top, and files the message in the folder specified by the first filter it matches.  The last filter in the list is always "[All other messages]."  This is a catch-all for messages that do not match any of the other filters.

Add

Press this button to create a new filter.

Edit

Press this button to edit the highlighted filter.

Delete

Press this button to remove the highlighted filter.  Note: You cannot delete the "[All other messages]" filter.

Up

Press this button to move the highlighted filter up one position in the Filters list.

Down

Press this button to move the highlighted filter down one position in the Filters list.

With Agent's folders, you can organize and store your messages in any manner you like.

To create a folder:

1.	Choose New Folder from the Group menu.

2.	Enter a name for the folder (up to 255 characters) and press OK.

Folders appear in the Groups/Folders pane below the newsgroups.

To view folders:

	Choose one of the "Folder" options from the Show flyout on the Group menu. 

There are different ways to file messages in folders:  You can drag and drop them, or use the commands on the Message menu, or, for inbound email messages, have them automatically filed for you.  Note: You cannot file messages without bodies into a folders.

To drag and drop a message into a folder:

1.	View all three panes in your Browser window (i.e., make sure the Zoom Window option on the Navigate menu is unchecked).
2.	Highlight the message in the Message List pane.  
3.	Click anywhere on the highlighted message and hold down the mouse button.
4.	While continuing to hold the mouse button down, move the mouse cursor over the folder in which you want the message filed.
5.	By default, Agent will move a message when you drag and drop it.  To copy the message instead, press and hold the Control key.

6.	Release the mouse button to drop the message into the destination folder.

To file a message into a folder using the menus:

1.	Highlight the message in the Message List pane.
2.	On the Message menu, click either the Copy to Folder or Move to Folder flyout.

3.	Select the desired folder from the flyout or choose All Folders to open a dialog box with a list of all the folders you've created.  Note: Use the Manage Folder Menus dialog box to display your most frequently used folders on the Copy/Move to Folder flyout menus.

The fastest way to file your incoming email messages is to let Agent do it for you.  You can define a set of rules which tell Agent where to store each new email message it encounters.  For example, you can create a rule that files all incoming email messages with "Agent" anywhere in the subject field into a folder called "Agent Info."

To copy or move messages from the Outbox to a folder:

1.	Display the Outbox by choosing Open Outbox from the Window menu.
2.	Highlight the messages in the Outbox.
3.	If you want to drag and drop the messages into a folder, select Tile Vertically from the Window menu and make sure the Groups/Folders pane is visible.

4.	File the messages into a folder by either dragging and dropping them or choosing the desired folder from the Copy to Folder or Move to Folder flyout on the Message menu (see above for more details on these two steps).


Generally speaking, if you receive allot of e mail this section is of great interest to you.  I set Agent up to put forms sent to me into one folder called "forms", and it helps tremendously to keep me organized.  Spend some time learning this, set it up to work for you, rather than against you.  An organized e mail database is a wonderful thing.
